Capability Manager

Overview #

The Capability Manager allows you to set individual permission levels based on vendors, staff, and Managers. This powerful feature allows the marketplace admin to have full control over their marketplace. 

Capabilities (permissions) can be set on three levels:

  • Globally
  • Groups
  • Individually

Hierarchy #

Your marketplace has a given set of priorities to avoid conflicts in assigned capabilities. The global capabilities can be overwritten by assigning group capabilities and group capabilities can be overwritten by assigning individual capabilities.

Vendor  #

The marketplace admin has the ability to set vendor permissions globally, in groups, and by individual vendor.

Global #

First, it’s recommended for the marketplace admin to set default global vendor permissions that will apply to all of the vendors in the marketplace. Capabilities can be set by navigating to Marketplace (from the admin dashboard) > Capabilities. 

From here, the marketplace admin can manage global permissions for Products, Inventory Limits, Modules, Insights, Withdraws, Coupons, Orders, Customers, etc. 

Groups (Memberships) #

This allows the marketplace admin to create different groups (or memberships) and assign a different set of permissions to each group.

Groups can be created by following Marketplace (from the admin dashboard) > Groups.

The marketplace admin can edit the permissions of each individual group by selecting the edit icon found under the Actions column.

Additionally, new groups can be added by selecting the ‘Add New’ button on the top right corner of the page. 

The capabilities of each group can be assigned while creating a new group or by editing an existing group. 

Once you select the capabilities tab, you will be presented with the configuration panel where you can assign specific capabilities for that particular group.

While setting the permissions shown above, keep in mind that changing the ‘Group’ capabilities will overwrite the capabilities set ‘Globally’ (from the Capabilities module). 

For example, if the Product Limit option was set to 100 in the capabilities module then a specific group has been set to 150, all of the vendors in that particular group will have a product limit of 150. 

Individual #

RecShare also allows the marketplace admin to set different capabilities for individual vendors. 

As noted in the hierarchy, individual vendor capabilities will overwrite both group and global capabilities. 

For example, if the global Product Limit option was set to 100 in the capabilities module and a specific group has been set to 150, the marketplace admin can set a product limit for an individual vendor in that group to 200 while all other vendors in that group will still have a product limit of only 150. 

You can manage the vendors individually from this section by following Marketplace (from the admin dashboard) > Vendors. 

Upon editing a selected vendor, you will be redirected to the Manage Vendor page as shown below. From here, select Profile > Custom Capability > Capabilities to configure the capability settings for individual vendors accordingly. 

Shop Manager #

RecShare allows the marketplace admin to assign a Manager for respective sores and groups. Once assigned, the admin can set the capabilities of the Manager on global and individual levels. 

Global #

The marketplace admin can set the global capabilities of Managers by following Marketplace (from the admin dashboard) > Capabilities > Shop Manager Capability.

The Manager capability settings will give you various toggle options to control Manager permissions globally (throughout the site).

Individual #

In addition to the global settings, Manager permissions can also be assigned individually by following Marketplace (from the admin dashboard) > Managers > Select a Manager (or add new) > Custom Capability.

The marketplace admin can set the required permission for the particular Manager from the toggle options provided in the capabilities tab.

Note that if a Manager is assigned to a Group, the capabilities of the group will take precedence and the individual capability option will not be available to that specific Manager.

Additionally, keep in mind that permissions set individually will always take precedence over global permissions. For example, if the Manage Product option is set to ON Globally (for all Managers) but set to OFF for a particular Manager (Manager1), Manager1 will not be allowed to manage products of the assigned shop. 

Shop Staff  #

RecShare offers a unique user level called ‘Staff’ which allows the marketplace admin to assign staff members to specific vendors. Once assigned, the admin can set the capabilities of the Staff on global and individual levels.

Global #

The marketplace admin can set the global capabilities of Managers by following Marketplace (from the admin dashboard) > Capabilities > Shop Manager Capability.

The Staff capability settings will give you various toggle options from to control Manager permissions globally (throughout the site).

Individual #

In addition to the global settings, Staff permissions can also be assigned individually by following Marketplace (from the admin dashboard) > Staff > Select Staff Member (or add new) > Custom Capability.

The marketplace admin can set the required permission for the particular Staff member from the toggle options provided in the capabilities tab.

Note that if a Staff member is assigned to a Group, the capabilities of the group will take precedence and the individual capability option will not be available to that specific Manager.

Additionally, keep in mind that permissions set individually will always take precedence over global permissions. For example, if the Manage Product option is set to ON Globally (for all Staff) but set to OFF for a particular Staff member (Staff1), Staff1 will not be allowed to manage the product of any of the vendor(s) they’re assigned to. 

Capabilities #

There are a number of options given in the capabilities panel with toggles allowing the marketplace admin to set capabilities per Vendor, Manager and Staff member on a global, group, or individual basis.

Access #

With this option you can grant or restrict users access to WordPress’s backend.

ON: Enabling this option will allow users to access the WordPress backend.

OFF: Disabling this option will deny users access to the WordPress backend.

Marketplace #

i) Show Sold By : This option provides the marketplace admin the option to allow/disallow the vendors name to be visible in the marketplace.

ON: The vendors name will be visible.

OFF: The vendors name will not be visible.

ii) Show Email: This option provides the marketplace admin the option to allow/disallow the vendors email address to be visible in the marketplace.

ON: The vendors email address will be visible.

OFF: The vendors email address will not be visible.

iii) Show Phone: This option provides the marketplace admin the option to allow/disallow the vendors phone number to be visible in the marketplace.

ON: The vendors phone number will be visible.

OFF: The vendors phone number will not be visible.

iv) Show Address: This option provides the marketplace admin the option to allow/disallow the vendors address to be visible in the marketplace.

ON: The vendors address will be visible.

OFF: The vendors address will not be visible.

v) Show Map: This option provides the marketplace admin the option to allow/disallow a map showing the vendors address to be visible in the marketplace.

ON: A map of the vendors location will be visible.

OFF: A map of the vendors location will not be visible.

vi) Show Social: This option provides the marketplace admin the option to allow/disallow the vendors social media profiles to be visible in the marketplace.

ON: The vendors social media profiles will be visible.

OFF: The vendors social media profiles will not be visible.

vii) Show Follower: This option provides the marketplace admin the option to allow/disallow the vendors store followers to be visible in the marketplace.

ON: The vendors store followers will be visible.

OFF: The vendors store followers will not be visible.

viii) Show Policy: This option provides the marketplace admin the option to allow/disallow vendors to create and display their own store policies.

ON: Vendor store policies will be enabled. 

OFF: Vendor store policies will be disabled. 

ix) Store Hours: This option provides the marketplace admin the option to allow/disallow vendors to set their store hours (typically used for brick and mortar stores).

ON: Vendors will be able to add their store hours. 

OFF: Vendors will not be able to add their store hours. 

x) Customer Support: This option provides the marketplace admin the option to allow/disallow vendors to enable customer support for their store.

ON: Vendors can enable customer support for their store.

OFF: Vendors cannot enable customer support for their store.

xi) Refund Requests: This option provides the marketplace admin the option to allow/disallow vendors to request for orders. 

ON: Vendors can request refunds for orders.

OFF: Vendors cannot request refunds for orders.

xii) Reviews Manage: This option provides the marketplace admin the option to allow/disallow vendors to manage product reviews.

ON: Vendors can manage product reviews.

OFF: Vendors cannot manage product reviews.

xiii) Ledger Book: This option provides the marketplace admin the option to allow/disallow vendors to access the ledger book containing detailed information on store sales.

ON:  Vendors will have access to their ledger book.

OFF: Vendors will not have access to their ledger book.

xiv) Product Multivendor: This option provides the marketplace admin the option to allow/disallow vendors to sell the same product on the same product listing, listed on another vendors store.

ON: Vendors will be allowed to share a product listing.

OFF: Vendors will not be allowed to share a product listing.

xv) Video Banner: This option provides the marketplace admin the option to allow/disallow vendors to set up and add video banners to their store.

ON:  Vendors will have the ability to add a video banner to their store. 

OFF: Vendors will not have the ability to add a video banner to their store. 

xvi) Slider banner: This option provides the marketplace admin the option to allow/disallow vendors to set up an image slider banner for their store.

ON: Vendors will have the ability to add an image slider banner to their store

OFF: Vendors will not have the ability to add an image slider banner to their store

Product #

i) Manage Products: This option provides the marketplace admin the option to allow/disallow users to manage their own product (i.e. they will not be able to access the product settings panel).

ON: Users can manage products.

OFF: Users cannot manage products.

ii) Add Products: This option provides the marketplace admin the option to allow/disallow users to add products to their store.

ON: Users can add products to their store .

OFF: Users cannot add products to their store.

iii) Publish Products: This option provides the marketplace admin the option to allow/disallow users to publish products to their Store.

ON: Users can publish products to their store.

OFF: Users cannot publish products to their store.

iv) Edit Live Products: This option provides the marketplace admin the option to allow/disallow users to edit live products in their store.

ON: Users can edit live products in their store.

OFF: Users cannot edit live products in their store.

v) Auto Publish Live Products: This option provides the marketplace admin the option to allow/disallow users to automatically publish products in their store (without marketplace admin approval). 

ON: Users can publish products to their store without admin approval. 

OFF: Users cannot publish products to their store without admin approval. 

vi) Delete Product: This option provides the marketplace admin the option to allow/disallow users to delete products from their store.

ON: Users can delete the product from their store.

OFF: Users cannot delete products from their store.

Types #

These settings will determine what type(s) of products can be listed on the marketplace. 

i) Simple: This option provides the marketplace admin the option to allow/disallow vendors to add ‘Simple’ (for sale) products.

ON: Vendors will be allowed to add ‘Simple’ (for sale) products. 

OFF: Vendors will not be allowed to add ‘Simple’ (for sale) products. 

ii) Variable: This option provides the marketplace admin the option to allow/disallow vendors to add ‘Variable’ (product with variations) products.

ON: Vendors will be allowed to add ‘Variable’ (products with variations) products. 

OFF: Vendors will not be allowed to add ‘Variable’ (products with variations) products.

iii) Grouped: This option provides the marketplace admin the option to allow/disallow vendors to add ‘Grouped’ (products paired with others) products.

ON: Vendors will be allowed to add ‘Grouped’ (products paired with others) products. 

OFF: Vendors will not be allowed to add ‘Grouped’ (products paired with others) products.

iv) External/Affiliate: This option provides the marketplace admin the option to allow/disallow vendors to add ‘External’ (linking to another website) and/or ‘Affiliate’ products.

ON: Vendors will be allowed to add External/Affiliate products. 

OFF: Vendors will not be allowed to add External/Affiliate products.

Panels #

There are various options available to users while adding/editing products. RecShare allows you to allow/disallow specific options as desired.

i) Inventory: This option provides the marketplace admin the option to allow/disallow vendors from accessing the Inventory tab in the edit/add product page.

ON: Vendors can access the ‘Inventory’ tab in the add/edit product page.

OFF: Vendors cannot access the ‘Inventory’ tab in the add/edit product page.

ii) Shipping: This option provides the marketplace admin the option to allow/disallow vendors from accessing the ‘Shipping’ tab in the edit/add product page.

ON: Vendors can access the ‘Shipping’ tab in the add/edit product page.

OFF: Vendors cannot access the ‘Shipping’ tab in the add/edit product page.

iii) Taxes: This option provides the marketplace admin the option to allow/disallow vendors from accessing the ‘Taxes’ tab in the edit/add product page where the vendors can set taxes for their products.

ON: Vendors can access the ‘Taxes’ tab in the add/edit product page.

OFF: Vendors cannot access the ‘Taxes’ tab in the add/edit product page.

iv) Linked: This option provides the marketplace admin the option to allow/disallow vendors from accessing the ‘Linked’ tab in the edit/add product page. This is where vendors can set up-sells and cross-sells product(s).

ON: Vendors can access the ‘Linked’ tab in the add/edit product page.

OFF: Vendors cannot access the ‘Linked’ tab in the add/edit product page.

v) Attributes: This option provides the marketplace admin the option to allow/disallow vendors from accessing the ‘Attributes’ tab in edit/add product page. This is where the vendors can set specific attributes for their products (color, size, etc.).

ON: Vendors can access the “Attributes” tab in the add/edit product page.

OFF: Vendors cannot access the “Attributes” tab in the add/edit product page.

Order #

i) View Orders: This option provides the marketplace admin the option to allow/disallow vendors from viewing orders placed.

ON: Vendors can view orders placed.

ii) Status Update: This option provides the marketplace admin the option to allow/disallow vendors from updating order statuses.

ON: Vendors can update order statuses.

OFF: Vendors cannot update order statuses.

iii) View Details: This option provides the marketplace admin the option to allow/disallow vendors from viewing order details.

ON: Vendors can view order details.

OFF: Vendors cannot view order details.

iv) Add/Edit Order: This option provides the marketplace admin the option to allow/disallow vendors to add/edit orders.

x) Customer Limit: This option allows the marketplace admin to set a maximum amount of customers for vendors.

Limits #

As a marketplace admin, RecShare allows you to set space limits, article limits, product limits, image upload limits, etc. for vendors. This is especially useful while creating different membership levels.

Space Limit: This option provides the marketplace admin the option to limit the amount of attachment (image) MB a vendors store is allocated. For example, if you want to allocate 100 MB to a particular vendor or group, simply enter 100 into this field. 

Article Limit: This option provides the marketplace admin the option to assign a specific number of articles that a store can post. Note that if you want to restrict this to zero, you must set the quantity to -1.

Product Limit: This option provides the marketplace admin the option to limit the number of products that a vendor can list in their store. Note that if you want to restrict this to zero, you must set the quantity to -1.

Featured Product Limit: This option provides the marketplace admin the option to allow a set number of products that a vendor can feature. Note that if you want to restrict this to zero, you must set the quantity to -1.

Gallery Limit: This option provides the marketplace admin the option to limit the number of product images a vendor can upload. Note that if you want to restrict this to zero, you must set the quantity to -1.

Article Categories: This option provides the marketplace admin the option to select a range of permissible store article categories.

Article Categories Limit: This option provides the marketplace admin the option to limit the number of articles a vendor can create. Note that if you want to restrict this to zero, you must set the quantity to -1.

Product category: This option provides the marketplace admin the option to select a range of permissible product categories.

Product Categories Limit: This option provides the marketplace admin the option to limit the number of product categories a vendor can create. Note that if you want to restrict this to zero, you must set the quantity to -1.

Custom Fields: This option provides the marketplace admin the option to set the custom fields to be allowed for use on the marketplace.

Shipment Tracking #

Allow: This option provides the marketplace admin the option to allow/disallow vendors to utilize the built-in shipment tracking feature.

ON: Vendors can track shipments.

OFF: Vendors cannot track shipments.

Inquiry #

i) Inquiry: This option provides the marketplace admin the option to allow/disallow vendors from receiving inquiries regarding the products in their store.

ON: Vendors can receive inquiries.

OFF: Vendors cannot receive inquiries.

ii) Inquiry Reply: This option provides the marketplace admin the option to allow/disallow vendors to respond to the inquiries submitted by their customers.

ON: Vendors can respond to inquiries.

Sections #

The options in this panel provide the marketplace admin the option to allow/disallow vendors from accessing different elements while adding/editing products. 

i) Featured Image: This option provides the marketplace admin the option to allow/disallow vendors to feature a product image.

ii) Gallery Image: This option provides the marketplace admin the option to allow/disallow vendors to add a product gallery image.

As the marketplace admin, you can manage the accessibility of each user profile settings options as shown below.

vii) Customer Support: This option provides the marketplace admin the option to allow/disallow vendors to provide customer support directly through their store.
